Job Position Purpose / Summary

As Executive Assistant to revelant members of the International Leadership Team (ILT), this role serves as a trusted partner in enabling leadership effectiveness across a complex, international and matrixed organization. The position provides high-level executive support through strong prioritization, proactive coordination, sound judgment, and seamless execution of key administrative and organizational activities across functions and regions. The role reports directly to the VP SEE, MEA & LATAM, with a strong dotted line to the VP NWC and director International Marketing.

 

Job Position Accountabilities / Expectations

Support relevant members of International Leadership Team in managing priorities, coordination and day-to-day operations in an effective and structured manner.

Manage complex calendars, prioritizing meetings and activities based on business relevance and impact, while acting as a gatekeeper, protecting leadership focus and time.

Prepare clear and concise pre-reads, summaries and supporting materials to ensure leaders are well prepared for meetings and key interactions.

Act as a key point of contact for internal and external stakeholders, ensuring alignment, follow-up and closure on key topics, with a high level of professionalism.

Build and maintain strong working relationships across regions and functions, supporting effective collaboration in a global and matrixed environment.

Develop an understanding of the business, priorities and key stakeholders to support leadership activities and decision-making.

Track key actions and ensure follow-through, bringing structure and visibility to ongoing topics and initiatives.

Plan and coordinate meetings, off-sites and international events, ensuring high-quality preparation, smooth execution and proper follow-up. Attendance and on-site support will be expected for key meetings and international events, as required.

Track budgets related to relevant meetings and events, including vendor coordination and alignment with procurement where needed.

Organize complex international travel, including visas and logistics, anticipating potential issues and adapting quickly when required.

Ensure timely and accurate submission of expenses (CONCUR).

Handle sensitive and confidential information with discretion, maturity and sound judgment.

Manage multiple priorities simultaneously with strong attention to detail, organization and reliability.

Continuously look for ways to improve processes and ways of working, bringing structure and efficiency where needed.

Perform other duties and projects as assigned.

Maintain required training and compliance standards.

Quality: Supports the organization to ensure an adequate and effective quality management system, supports the quality policy and sustains a quality culture.

This role interacts with a broad range of internal and external stakeholders across functions, regions and levels of the organization, including senior leadership and corporate teams. Participation in regional and global meetings and occasional selected customer visits will be expected, including on-site support when required.

Qualifications / Education / Experience / Skill Required

Required Qualifications:

Proven experience supporting senior executives in an international and matrix environment, with the ability to manage multiple stakeholders and competing priorities effectively.

 

Strong organizational and planning skills, with high attention to detail and the ability to handle multiple activities simultaneously while maintaining accuracy and reliability.

 

Excellent communication skills, both written and verbal, with a high level of professionalism and the ability to interact confidently with senior stakeholders.

 

Demonstrated ability to prioritize effectively, exercise sound judgment and operate with a high degree of autonomy.

 

Proactive mindset, anticipating needs and acting ahead, with the ability to adapt quickly in a fast-paced and evolving environment.

 

Strong interpersonal skills and ability to build relationships across functions, regions and cultures.

 

Ability to appropriately challenge, structure and manage requests, ensuring focus on business priorities.

 

High level of discretion and confidentiality in handling sensitive information.

 

Advanced knowledge of Microsoft Office tools (particularly Outlook, PowerPoint and Excel), experience in SAP, Concur and other collaboration tools preferred.

 

Fluency in spoken and written English is required. Portuguese is a plus.

Additional languages are also considered an advantage.
